Sending email from your journal’s address

Journal emails go out only from your own domain.

Updated Oct 19, 2026 · 1 min read

Every email your journal sends — submission receipts, review invitations and reminders, decisions, proofs and certificates — goes out from your journal's own address (e.g. editor@your-journal.org), through your own mail service. JournalEnv's own email address is used only for JournalEnv's messages to you, such as sign-in and billing.

Until you connect your mail service, journal emails are not sent. Authors, reviewers and editors still see every update in their dashboard, and a reminder appears at the top of your journal's pages.

Connect your mail service

  1. Create a mailbox on your domain with any provider that offers SMTP: Google Workspace, Zoho Mail, Microsoft 365, your hosting provider, or a transactional service such as ZeptoMail.
  2. Go to Journal settings → Email sending and switch on Use the journal's own mail server.
  3. Enter the SMTP details (server, port, username, password) from your provider's help pages, and the From address.
  4. Click Send test and check that it arrives.

Set up SPF and DKIM for your domain at your mail provider so your emails reach the inbox. The password is stored encrypted.

Newsletters and calls for papers

JournalEnv never sends bulk or marketing email. Use an email-marketing service (for example Mailchimp, Zoho Campaigns or Brevo) with your own domain. On Email sending, download the list of people who agreed to receive your news, and include an unsubscribe link in every newsletter.
